Setting up a webinar

The five parts of Webinar setup and how to generate your activation kit.

Setting up a webinar

A Webinar brief becomes a co-hosted webinar. After you start setup from the brief, you land on the Webinar setup page. Your webinars are also listed on the Webinars page ("Run co-hosted webinars") under Upcoming and Past · what they produced.

The five parts of setup

1. When

Title, Date, Time, Duration and Timezone, plus a Dry run date and Dry run time. The dry run is a rehearsal with all speakers and must be at least 48 hours before the webinar.

2. The joint offer

One partner, one offer. Describe what attendees receive. What you type here is published word for word on the public registration page, so write it exactly as you want an attendee to read it. Line breaks show on the page; other formatting does not.

3. Graphics

The Registration graphic and Announcement graphic. These are produced and managed in the activation kit.

4. Speakers

For each speaker: Name, Role, Organisation and a Headshot. Every speaker needs a name. Speakers you saved as defaults on the partner's detail page are suggested here for you to review.

5. Context page

Paste a link to a page with more context about the product, launch or offer, and select Read page. The agent uses it as background.

The agenda

Add agenda rows with a start time, the item, what the audience will take away, the minutes and the speaker. The rows must add up to the webinar's duration.

Generating the activation kit

Select Generate activation kit. Activate saves your setup and drafts the kit. When it is ready you will see "Activation kit generated. Review the drafts before approval." The setup page then shows:

  • Agenda / run sheet
  • Registration page copy
  • Email set · EDM 1 to 3
  • Social posts

Each part can be edited, and each has its own Regenerate button so you can redo one part without losing the others. After the first generation the main button becomes Save webinar.

Creating the webinar in Zoom is a separate step that you confirm on the webinar's page. See Webinar kit, Zoom and registration.
If you refresh mid-setup, unsaved entries are restored from this browser tab. Reselect any files you had not yet uploaded.
